Refund and cancellation policy
How deposits, cancellations, and refunds work for Flowtrailhub consulting engagements. This site does not sell physical products or software subscriptions.
Eligibility
Refunds apply only to fees paid under a signed proposal or statement of work with Flowtrailhub Co., Ltd. Informational website browsing creates no payment obligation.
Timeframe to request
Refund requests should be emailed to info@flowtrailhub.click within fourteen days of the event that triggers eligibility (for example a cancelled assessment visit before work begins).
Assessments
If you cancel a Yard Visibility Assessment more than seven days before the scheduled visit, the booking deposit is refundable minus a THB 3,000 scheduling fee. Cancellations inside seven days forfeit the deposit unless we cancel or we mutually reschedule within thirty days.
Dashboard and reporting engagements
Deposits cover discovery preparation and reserved consultant time. If you cancel before the kickoff visit, we refund the deposit minus documented preparation hours billed at the rate in your proposal. After kickoff, fees for completed phases are non-refundable. Unused future phases may be cancelled with written notice; prepaid amounts for those future phases are refundable within fourteen business days.
Monthly retainers
Monthly Utilization Review Retainers renew month to month. Cancel with at least fourteen days’ notice before the next billing month. The current month’s fee is non-refundable once the review meeting has been held or materials prepared at your request.
No-shows and rescheduling
Missed on-site visits without twenty-four hours’ notice may be charged as a consumed day. Rescheduling with reasonable notice is accommodated subject to consultant availability; travel already booked may be billed at cost.
Work already started
Prototype builds, written briefs, and training sessions already delivered are non-refundable. Partial refunds for unfinished later phases are calculated against the payment schedule in your statement of work.
Purchased materials
We rarely purchase third-party materials on a client’s behalf. When we do under written approval, those pass-through costs are non-refundable once ordered.
Refund method and timing
Approved refunds return to the original bank transfer account within fourteen business days after approval. Processing time may extend when banks require additional verification.
